START A CLUB

Got a brilliant idea for a club? AWESOME!


We’re here to help you turn that idea into reality. 


HOW TO BRING YOUR CLUB TO LIFE:

STEP 1: FIND YOUR CREW

You’ll need at least 10 members to kick things off, and 4 of them will be your dream team of office bearers (Club Executives):

  1. President
  2. Vice President
  3. Treasurer
  4. Secretary

STEP 2: HOST YOUR INAUGURAL GENERAL MEETING (IGM)

Be sure to use the template provided – IGM Template 2026

This is your club’s big first meeting! Here’s what you’ll cover:

  • Decide on your club name and logo.
  • Lock in your aims and objectives.
  • Hold elections for executive positions.
  • Nominate bank account signatories.
  • Review your club constitution.

 

Take meeting minutes! They’re super important.

STEP 3: REGISTER YOUR CLUB ON RUBRIC (STAGE 1)

Ready to make it official? Here’s what to do:

  1. Create a general club email.
  2. Using this, create your club account on Rubric.
  3. Head to the Forms tab and find “Stage 1 – New Club Request.”
  4. Fill out the form with your club’s details, aims, and objectives.

Hit submit!

 

STEP 4: SUBMIT PAPERWORK & GET STARTED

  • Once Stage 1 is approved, you’ll get an email inviting you to complete “Stage 2 – Start Your Club”.
  • This is where you upload the documents you created at the IGM (you can find templates for them on the Resources page).
  • When Stage 2 is approved, you’re officially part of UniClubs!
  • Time to start thinking about planning events, meeting new people, and making your club amazing 🎉

STEP 5: ATTEND EXECUTIVE TRAINING

The UniClubs team hosts two executive training sessions throughout the calendar year, known as Exec Academy.

STEP 6: HOST EVENTS, CREATE COMMUNITY & HAVE FUN!

START A CLUB FAQ:

Do all executive members need to be sutdents?

The office bearers’ positions (President, Vice President, Treasurer, and Secreatary) must all be held by currently enrolled UOW students. Non-students can be executives, but the executive team must have a 60%-40% split between students and community members.

Almost! Your club must align with UOW Pulse values and not duplicate an existing club. If you’re unsure, check the Find a Club page first.

Stage 1 usually takes about 1–2 weeks, depending on how complete your application is. Stage 2 can take up to 1 month after you submit all documents.

Not immediately! You’ll nominate signatories during your IGM, and we’ll guide you through setting up the account after your club is approved.

Yes, you would need to hold an Extraordinary General Meeting (EGM) to vote on these changes with the rest of your executive team.

Nope! Starting a club is free. In fact, once you’re affiliated, you can apply for funding and resources.
