REAFFILIATION

getting your club ready for the year ahead

 

If your club misses the November 30 deadline, it will no longer be affiliated with UOW Pulse and will not be recognised as a UniClub.

 

REAFFILIATION:

Reaffiliation is the yearly process where clubs send the UniClubs team their official documents to stay recognised as a UniClub.

This happens at the end of every year through Rubric (found under > Forms).

WHAT YOU NEED TO SUBMIT:

  • AGM Minutes (Annual General Meeting record)

  • Updated Constitution (with digital signatures from President, Vice President, Treasurer, Secretary in Part 8)

  • End of Year Report

  • Any other required documents (see checklist in Rubric)

KEY RULES:

  • Quorum → Your AGM must have at least 10 members present.

  • Signatories → At the AGM, you must vote on who will be bank account signatories and card holders.

  • Deadline → Reaffiliations close 30 November every year.

Reaffiliation closes on 30 November every year.
 If your club misses the deadline, it will no longer be affiliated with UOW Pulse and cannot operate as a UniClub.

You must upload through Rubric:

  • AGM minutes (with quorum of 10)
  • Updated Constitution (with Part 8 digitally signed by all Office Bearers who are the elected executives)
  • End of Year Report
  • Any additional forms listed in Rubric

The President, Vice President, Treasurer, and Secretary must all digitally sign Part 8 of your Constitution.

Yes. Your AGM minutes must include a motion confirming bank account signatories and card holders.

Without an AGM, you cannot complete reaffiliation. Your club will lose UniClub status and access to funding.

No. AGMs must meet quorum (minimum 10 members present). If quorum is not reached, the meeting and reaffiliation are invalid.

Yes, however the Office Bearer must be held by current UOW students.

 

Non-students and staff memebrs can hold executive positions, but the committe must uphold a 60%-40% split between students and non-students respectively.

Once approved, your club is officially reaffiliated for the next year. You’ll be able to continue running events, applying for funding, and promoting your club through UniClubs.
